At Merritt IT, privacy is a core operational principle, not a legal afterthought. As an operational unit of the EVERA technology group, we treat your personal information, client communications, and digital files with the highest standard of confidentiality and care.
This Privacy Policy outlines how we collect, use, protect, and handle your information when you visit merritt-it.ca, schedule a drop-off, or engage our IT support.
1. Information We Collect
We only collect personal information that is strictly necessary to provide reliable IT support, process billing, and secure client property:
- Contact & Intake Information: Name, email address, phone number, physical address (for on-site business service), and a description of your technical issue.
- Remote-Support Interest Information: Name, email address, optional business or personal support selection, and consent to receive an availability update.
- Device Preparation Information: Standard intake does not collect or store device passwords or PINs. The current standard workflow asks customers to temporarily remove the local lock-screen PIN or password before handoff, then restore their preferred sign-in protection after service is complete.
- Scheduling & Booking Information: Appointment details processed through our direct communications and booking workflows.
2. How We Use Your Information
Your information is used strictly to conduct business directly with you. We use it to:
- Diagnose, repair, and maintain your computer hardware, software, or network.
- Communicate service status updates, diagnostic findings, and invoices.
- Verify drop-off and pickup identity for appointment-only handoffs.
- Maintain internal service history records for your ongoing technical support.
- Send remote-support availability updates only when you have requested them.
We never sell, rent, trade, or monetize your personal information or data under any circumstances.
3. How We Handle Device Credentials & Confidential Files
- Credentials: Standard intake does not collect or store device passwords or PINs. Customers are asked to temporarily remove the local lock-screen PIN or password before handoff where practical.
- No Password Transmission: Do not submit passwords, PINs, or device credentials through the website, email, or text message.
- Client Files: We do not browse, copy, inspect, or transfer your personal or business files unless explicitly authorized by you as part of a data recovery or backup task.
- Backup Privacy: Any temporary system backups created during bench repairs are stored on encrypted local storage and securely erased once you confirm your service is complete.
4. Future Drop-Box or Camera Practices
Drop-offs are conducted strictly by appointment only. Merritt IT does not currently operate a public walk-in drop-off bin, camera-monitored drop box, video intercom drop-off workflow, audio recording workflow, or drop-box cloud-footage workflow as part of standard service.
If a secure drop-box, camera, video intercom, audio recording, or related monitoring process is introduced in the future, this Privacy Policy will be updated before that feature launches.
5. Third-Party Tools & Services
To operate efficiently, Merritt IT utilizes standard, secure operational infrastructure:
- Communications & Scheduling: Phone, SMS, and scheduling integrations (such as Google services).
- Payment Processing: Secure payment provider platforms for invoicing and card transactions.
- Security Checks: Cloudflare Turnstile is used on website forms to help prevent automated abuse.
- Cloudflare Web Analytics/RUM: If enabled, Cloudflare Web Analytics or RUM may use a browser beacon to collect page-load performance metrics and send those metrics to Cloudflare. On Cloudflare-proxied automatic setup, the beacon reports through a same-origin Cloudflare RUM path on this site; manually embedded setup reports to Cloudflare’s Web Analytics RUM endpoint. Cloudflare’s documentation describes Web Analytics as collecting timing and performance metrics and not using cookies or local storage for analytics.
These service providers only process data necessary to fulfil their specific administrative function and are bound by their own strict privacy standards.
6. Retention & Data Erasure
- Service Records: Invoicing and service logs are retained as required by local tax and business accounting regulations.
- Your Rights: You have the right to request access to the personal contact information we hold about you, or to request that we update or delete non-essential contact details from our active outreach systems.
